Executive Dashboard
Executive Dashboard
What this is for — the owner's one-screen view of the month: money in, money owed, trips run, and where the work comes from.
Where to find it
Left menu → Overview → Executive Dashboard. It shows one location at a time — use the Sacramento / Fresno switch.
The four cards along the top
- Revenue ·
MTD — money from trips completed so far this month. Underneath, "tracking to $X" is the projection for the full month. - Trips ·
MTD — trips completed this month, with last month's total for comparison. - AR outstanding — the total still owed across every open invoice, with how many there are.
- Today — trips completed today, plus how many are en route and upcoming.
How revenue is counted
- Only completed trips count. A booked trip is not revenue.
- A round trip counts once. One leg carries the whole fare; the other holds nothing. A $140 round trip is $140 here, never $280.
- Earlier months come from the stored monthly figures; the current month is worked out live from the trips themselves, so the two meet at today.
Revenue & month projection
The chart shows the last six months. The current month is marked as in progress and carries the projection.
The projection is a straight line. It takes what you have made so far, divides by how much of the month has gone, and multiplies out. A slow start makes it pessimistic; a heavy first week makes it optimistic. The note under the card says so: "…% of the month is behind us. The projection assumes the current pace holds."
What we're owed
A ring split by age: Current, Past due, 30+ days, 60+ days, 90+ days, with the total in the middle. Same money as 12 — Receivables, but for both regions combined.
Completed trips by month
One bar per month for the last six, counting completed trips.
The four lists
- Top referral sources — the six biggest sources, counting the last few months of stored figures plus this month's trips.
- Top facilities — the six busiest pickup and destination places this month. A round trip touches both ends, so both are counted.
- Outstanding balances — the six clients who owe the most, with how many invoices and how overdue the worst one is.
Driver utilization — what the number means
Driver utilization is completed trips per driver, this month — the card is labelled Fleet · this month. It is not a daily figure and it is not hours.
Open invoices
The eight oldest unpaid invoices: customer, invoice number, date of service, amount, and how overdue. Receivables has the full list and the tools to work it.
Good to know
- The dashboard covers one location. To see the whole company, look at both and add them up.
- AR outstanding and What we're owed cover both regions — those figures do not change with the location switch.
- Everything updates by itself.
- The dashboard is open to Executive, Billing and Dispatcher accounts. Intake accounts cannot see it.
If something looks wrong
- Revenue looks low early in the month — only completed trips count, and the projection is a straight line from a small number of days.
- Driver utilization looks small — it counts this month's completed trips, not today's.
- Top facilities lists an address rather than a facility name — the list uses whatever was typed as the pickup or destination. Picking a saved facility on the booking form keeps the names tidy.
- The revenue here doesn't match Reports — Reports counts trips (and counts each leg of a round trip); the dashboard counts money, once per round trip.
- A month is missing from the chart — no stored figures for that month yet.
