Searching

What this is for — finding a trip, a client, a driver, a van, a facility or a broker from anywhere in the system.

Where to find it

The Search trips, clients… box in the bar across the top of every screen. Press ⌘K (Mac) or Ctrl+K (Windows) to open it without reaching for the mouse.

Drivers do not have search.

Steps

  1. Click the Search trips, clients… box at the top of the screen, or press ⌘K / Ctrl+K.
  2. Type what you're looking for — a trip number (3685 or #3685), a client's name, or a phone number. It needs at least two characters; the hint says so: "Type at least two characters — trip numbers work too (e.g. 3685)."
  3. Results appear as you type, each with an icon showing what it is.
  4. Click a result to open it. A trip opens the dispatch board on that trip's own day, with the trip open.

Press Escape, or click outside the box, to close it.

What it finds

Type Matches on Opens
Trip The trip number (3685 or #3685), and the client's name The dispatch board on that day, with the trip open
Client Name, both phone numbers, email, every saved address, caretaker name and number, their facility The client's record
Driver Name The drivers page
Vehicle Fleet number or type label The vehicles page
Facility Name The facilities page
Broker Name The brokers page

Search covers both locations, not just the one on the switch.

Phone numbers

A client's phone and alternate phone are searchable, so typing a number finds the person. Type the digits as they are stored on the record.

The booking form does more with phone numbers than search does: the First name / Last name / Phone number / Email boxes on the booking form match phone numbers however they are typed and flag an exact match Same phone in red. When you are chasing a duplicate, search from the booking form.

"Is she on the schedule?"

Search finds trips by client name, but the reliable answer is the client's own record:

  1. Search the client's name and click their result — or go to Customers and click their row.
  2. The record shows Upcoming trips, with the count and the last date in the heading: "Upcoming trips — 12 scheduled through Dec 19."
  3. Every scheduled trip is listed in date order, with today's highlighted, so an empty list is a real answer: "No upcoming trips on the schedule."
  4. Past trips underneath shows the last twelve.
